Quick answer

Start with the business decision, restrict the agent to official company pages, regulatory filings where relevant, approved databases, CRM history, current news, and buyer-provided information, require a dated account brief with source URLs, confidence, unknowns, relevance to the meeting, and owner, and name the person who approves consequential actions.

This guide is for: revenue, operations, marketing, support, and enablement teams that need repeatable work with visible ownership.

A sales account research template is a verification map, not a company biography

The brief should help a seller ask a better question in the next call. Every material statement needs a source, publication or observation date, retrieval time, exact entity match, evidence status, and owner. Anything not confirmed by the customer remains public evidence or a hypothesis.

Use four evidence classes

Verified public fact comes from an attributable primary source; internal record comes from a versioned, permissioned CRM or support record; third-party signal requires source caveats; hypothesis is an explicitly testable interpretation. AI-generated summaries are never their own source.

Resolve the entity before researching it

Record legal/brand names, official domain, headquarters or operating region, parent/subsidiary relationship, and a stable identifier when available. Similar names, acquired brands, franchisees, and regional entities can otherwise contaminate every later field.

The source and recency contract

How to label evidence before it enters the call brief
Evidence classRequired metadataSafe use
Primary publicPublisher, page/document, direct URL, publication/event date, retrieved UTC, exact excerpt/fieldState the sourced fact with date and scope
Internal recordCRM object/ID, field or activity, owner, version/updated time, permission purposeSummarize only what the seller is authorized to use
Third-party signalProvider, source basis if disclosed, observed date, coverage caveat, license/use statePresent as a signal requiring verification
HypothesisSupporting facts, reasoning, alternative explanation, disconfirming evidence, verification questionUse to prepare a question, never as an account fact
Unknown/staleWhat is missing, last reliable date, why reliability is insufficientLeave blank or ask; do not backfill from inference
Entity-safeFacts resolve to the intended legal or operating entity.
Time-safePublication date, event date, and retrieval time remain distinct.
Use-safeLicensing, access, purpose, privacy, and field ownership are respected.

10 fields in the sales account research template

Complete each field independently. An explicit unknown is safer and more useful than a polished unsupported statement.

01

Company snapshot

Establish exactly which organization the call concerns before adding industry, size, location, or ownership facts.

FIELD CONTRACT Capture legal name, trading/brand name, official domain, headquarters and operating regions, parent/subsidiary status, public/private/nonprofit/government status, industry, approximate size with unit, stable identifier, source, dates, and match confidence. VALIDATION Prefer the company’s official site and applicable registry or filing. Reconcile name, domain, address, identifiers, and parent relationships. Mark estimates and conflicting headcount sources; do not merge a subsidiary, franchise, acquired brand, or namesake. CALL USE Show only verified essentials and one uncertainty worth confirming. Never infer purchasing authority, financial health, or fit from company size or industry alone.
02

Business model

Describe how the account creates and captures value using attributable customer, offering, channel, and revenue evidence.

FIELD CONTRACT Capture customer segments, core offerings, delivery model, geographic scope, routes to market, recurring/transactional/project revenue indicators, major cost or operational dependencies, and the period covered. Each claim needs a primary source or explicit third-party status. VALIDATION For public issuers, prefer current annual/quarterly filings and investor materials; for private entities, use official product, pricing, customer, careers, and company pages. Separate management statements from audited figures and current facts from historical context. CALL USE Summarize the value chain in two sentences and list what is unknown. Do not estimate revenue, margins, customer concentration, or buying capacity without support.
03

Strategic priorities

Extract management-stated objectives and the metrics, owner, period, and trade-offs attached to them.

FIELD CONTRACT Capture priority wording, speaker/document owner, target metric, baseline if provided, time horizon, affected business unit, dependencies, and source span. Examples include expansion, efficiency, product launch, risk reduction, or customer retention—but only when the account states them. VALIDATION Use current filings, earnings materials, investor presentations, executive communications, and official strategy pages. Check whether a newer statement replaces the old one and whether the priority applies globally or to one segment. CALL USE Bring one sourced priority and ask whether it remains relevant to the participant’s team. Do not claim your product advances it before discovering the actual workflow and constraints.
04

Recent trigger events

Record events that may change priorities, timing, stakeholders, or risk—without treating news as buying intent.

FIELD CONTRACT Capture event type, what happened, event date, publication date, source, affected entity/unit, named actors, stated consequence, and confidence. Consider leadership changes, filings, launches, acquisitions, funding, expansion, restructuring, regulatory events, and major incidents. VALIDATION Confirm with the company, regulator, exchange, or other primary announcement when possible. Distinguish an announced plan from completion and publication date from event date. Flag corrections, rumors, syndication, and same-name risk. CALL USE Use the event to frame a neutral question. A funding round, hiring spike, website visit, or leadership change is not proof of need, budget, urgency, or consent to outreach.
05

Relevant initiatives

Identify a currently evidenced program or workflow that could overlap with the conversation, then expose the missing facts.

FIELD CONTRACT Capture initiative name, objective, stage, executive/business owner if public, participating functions, geography, timeline, reported progress, dependencies, and evidence. Record whether the initiative is confirmed, inferred, historical, or unknown. VALIDATION Triangulate official announcements, filings, product releases, public roadmaps, procurement notices, and authorized CRM notes. Do not convert a job posting, vendor logo, or conference talk into a production-wide deployment claim. CALL USE Prepare a question about scope, current process, ownership, and success measures. Present your relevance as a hypothesis, not a conclusion.
06

Technology environment

Document only observable or authorized technology evidence, its scope, and its freshness.

FIELD CONTRACT Capture named platform/tool, evidence type, observed date, business unit/geography, lifecycle state, integration or data-boundary relevance, source, confidence, and permitted use. Separate current production, pilot, procurement, migration, historical mention, and unknown. VALIDATION Prefer customer statements, official technical documentation, public architecture material, procurement records, and authorized CRM discovery. Job ads and third-party technographic data are signals with coverage limits. Do not scan, probe, bypass controls, or expose credentials. CALL USE Ask architecture and ownership questions without asserting deployment. Never use inferred technology to make security, compliance, compatibility, or replacement claims.
07

Known stakeholders

Map observed people, roles, relationships, and information needs without guessing decision authority.

FIELD CONTRACT Capture person, verified current role, function, geography, relationship to the account, source/date, prior interactions, stated priorities, influence evidence, decision responsibility, access path, and verification state. Include missing roles rather than inventing names. VALIDATION Cross-check official leadership/team pages, current professional profiles where permitted, press releases, and authorized CRM contacts. Titles become stale; the most senior person is not automatically the economic buyer, and a contact is not automatically a champion. CALL USE Prepare role-specific questions and confirm responsibilities live. Respect privacy, platform terms, do-not-contact states, and access purpose; exclude sensitive or irrelevant personal details.
08

Relationship history

Build a chronological, permissioned record of prior contact, commitments, outcomes, and open obligations.

FIELD CONTRACT Capture CRM account/contact/opportunity IDs, activity date/type, participants, owner, purpose, verified outcome, commitments with due dates, objections, consent/preferences, support or renewal context if authorized, and record version. Link to the source activity instead of flattening it into lore. VALIDATION Deduplicate emails, calls, meetings, notes, opportunities, and imported records. Distinguish seller notes from customer statements, proposals from accepted commitments, and old employees from current stakeholders. Resolve conflicting ownership and stale next steps. CALL USE Surface the last material interaction and any promise the seller must honor. Do not expose restricted service, HR, payment, or support data merely because it exists.
09

Opportunity hypothesis

Connect sourced account evidence to a testable workflow problem while preserving alternatives and disconfirming evidence.

FIELD CONTRACT State: “Because [dated evidence], we hypothesize [role/process] may face [problem], affecting [outcome]. We need to verify [unknowns].” Include supporting facts, reasoning, counterevidence, alternative explanation, confidence, expiry, owner, and one falsifying question. VALIDATION A hypothesis must not rest on a single weak signal or circular vendor claim. Check product eligibility, geography, current relationship, strategic fit, and whether the evidence could indicate the opposite. Keep fit, pain, urgency, authority, and budget as separate unknowns. CALL USE Use the hypothesis to choose a relevant opening question, not to personalize with surveillance-like detail or assert that the customer has a problem.
10

Questions to verify live

Turn the highest-impact unknowns into concise, non-leading questions the participant can answer or redirect.

FIELD CONTRACT Rank unknowns by the call objective, decision consequence, evidence staleness, and participant’s likely knowledge. For each question record the gap, why it matters, intended respondent, neutral wording, acceptable evidence, follow-up branch, and CRM field that may later be proposed. VALIDATION Remove questions already answered by reliable records, compound interrogations, loaded assumptions, and requests for information the participant should not disclose. Include a correction invitation: “What have I misunderstood or what has changed?” CALL USE Select three primary questions and two contingencies. The call owner decides whether and when to ask; the system does not contact the account or update consequential fields without authorization.

Worked example: a hiring signal is not a transformation program

This hypothetical record illustrates research discipline; it is not a real company, customer, or sales result.

Observed evidenceAn official careers page, retrieved September 3, lists three data-engineering roles in one region. A six-month-old executive post discussed improving operational reporting. CRM shows one prior discovery call; the note says the team was “exploring options.”
Unsafe brief“The account is executing a global data-platform transformation, has budget, and urgently needs OpenMax.” None of those conclusions is established by the evidence.
Evidence-safe briefVerified: three current regional job listings. Historical public statement: reporting improvement was discussed six months ago. Internal record: exploration was reported on the prior call, with no confirmed scope, owner, budget, or timeline. Hypothesis: the regional team may be increasing data capacity; alternative explanations include backfill or routine hiring.
Call questions“What work is driving the current data hiring in this region?” “How, if at all, does it connect to the reporting priority discussed earlier?” “Who owns the current process and how is improvement measured?”

Research record to preserve

Store the exact URLs/CRM IDs, event and retrieval dates, excerpts, entity match, evidence classes, hypothesis owner, expiry, and corrections. If the buyer rejects the hypothesis, record that disconfirming evidence instead of defending the personalization.

Acceptance: another seller can reproduce every factual statement, see what is inferred, and enter the call with questions rather than false certainty.

How to operate the template before a call

Set the call objective and research budget

Define who is attending, the decision to support, allowed sources, and a time limit so research remains proportional.

Resolve entity and deduplicate records

Confirm domain, legal/operating unit, parent relationship, CRM IDs, and contact status before enrichment.

Research facts before hypotheses

Capture source metadata first, then form a falsifiable interpretation with alternatives and expiry.

Review and convert gaps into questions

The call owner removes irrelevant or sensitive data, checks recency, and chooses the smallest set of useful questions.

Limits and human-review boundaries

Public availability does not automatically make data accurate, current, relevant, licensed for reuse, or appropriate for a sales brief.

  • Do not scrape, bypass access controls, violate platform terms, expose credentials, or collect sensitive personal data for superficial personalization.
  • Do not infer protected traits, private circumstances, financial condition, buying intent, authority, urgency, or technology deployment from weak signals.
  • Keep publication date, event date, retrieval time, record version, entity match, and source class visible.
  • Respect do-not-contact states, privacy requests, access permissions, retention, deletion, purpose limitation, and regional requirements.
  • Require human approval before outreach, consequential CRM changes, stakeholder labels, or sharing the brief beyond its permitted audience.

Frequently asked questions

What makes a good sales account research template workflow?

A clear outcome, approved sources, explicit boundaries, a structured output, and a named review or escalation point.

Can the AI take action automatically?

Only if the action is explicitly permitted, technically constrained, logged, reversible where possible, and appropriate for the workflow risk.

How should teams test these entries?

Use a small labeled set containing normal, missing, conflicting, stale, and adversarial inputs. Record failures and revise the workflow, not just the wording.

Where does OpenMax fit?

OpenMax coordinates AI employees, shared context, connected tools, workflow ownership, and human review for repeated business work.

Are the examples guaranteed to improve results?

No. They are structured starting points. Results depend on models, source quality, tools, policy, evaluation, and reviewer judgment.

Sources, editorial method, and limitations

OpenMax editors reviewed first-party guidance on pre-call account research, public-company filings, CRM account/contact/history records, and data provenance. We translated those mechanisms into ten source-aware fields and independently added entity resolution, evidence classes, publication/event/retrieval dates, falsifiable hypotheses, alternatives, correction, and permitted-use controls. Sources were reviewed September 3, 2026. No data-coverage, response-rate, pipeline, or customer-result claim is made.

Scope note LinkedIn and licensed-data features vary by plan and policy; SEC filings cover applicable filers, not every company; CRM configuration and permissions differ. Confirm the source, entity, date, license, purpose, and exact account record you operate. Consult qualified privacy, legal, security, data-governance, and sales-operations owners.
